POSITION SUMMARY
The Administrative Assistant provides day-to-day administrative and operational support to the Director of Operations and the broader facility team. This role is essential in keeping the office organized and efficient by managing scheduling, communication, document handling, and supporting various operational tasks. The Administrative Assistant helps maintain smooth operations by ensuring accurate recordkeeping, timely coordination, and effective internal support.
Hours: Monday-Friday
8am-5pm EST
ESSENTIAL FUNCTIONS
- Provide general administrative support including answering phones, managing calendars, filing, and handling correspondence.
- Help manage office supplies, track inventory, place orders, and maintain organized storage.
- Maintains an efficient flow of information between all levels of the Executive Leadership team’s internal and external contacts on a wide spectrum of the organization's plans and priorities.
- Track and update customer agreements and notify appropriate staff of renewals or updates.
- Completes critical aspects of deliverables and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem solving, and adjusting plans.
- Maintain a professional and positive relationship with both internal team members and external partners
- Handle confidential information with professionalism and discretion.
- Monitor and respond to general office inquiries, ensuring timely follow-up.
- Coordinates company gatherings and events, collaborating with HR for their execution.
- Support the Director of Operations with project tracking, status updates, and administrative follow-ups
- Manage incoming and outgoing mail and packages, ensuring timely distribution.
- High School Diploma or GED required, College preferred.
- 3-5 years relevant work experience
