We are seeking a reliable, organized, and customer-focused Administrative Assistant to support our daily operations and provide outstanding customer service.
Position Summary
The Administrative Assistant serves as a key point of contact for customers, vendors, and internal teams. This role is responsible for handling administrative tasks, coordinating communications, maintaining records, and ensuring a professional and positive customer experience.
Key Responsibilities
Customer Service
- Answer incoming phone calls and respond to emails professionally and efficiently.
- Assist customers with inquiries regarding products, orders, project schedules, and deliveries.
- Maintain positive relationships with customers, vendors, and subcontractors.
- Resolve customer concerns and escalate issues when necessary.
Administrative Support
- Perform data entry and maintain accurate customer and project records.
- Prepare and process correspondence, reports, purchase orders, invoices, and other documents.
- Schedule appointments, meetings, and project-related activities.
- Organize and maintain electronic and paper filing systems.
- Assist with project documentation and contract management.
Office Coordination
- Support project managers, estimators, and leadership teams with administrative tasks.
- Coordinate communications between departments and clients.
- Track project updates and ensure information is properly documented.
- Order and maintain office supplies as needed.
Qualifications
- High School Diploma or equivalent required.
- Associate degree or additional administrative training preferred.
- Minimum 2 years of administrative or office support experience.
- Strong customer service experience required.
- Construction, manufacturing, or prefabricated wall industry experience is a plus.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and time-management abilities.
- Ability to work independently and in a fast-paced environment.
