Position Summary
The Bilingual Administrative Coordinator will provide administrative support to the Human Resources and Transportation teams. This position serves as a key point of contact for employees, drivers, managers, and applicants, requiring the ability to communicate effectively in both English and Spanish. The successful candidate will ensure HR records, transportation documentation, and administrative processes are accurate, timely, and compliant.
Essential Responsibilities Human Resources
- Assist with new hire onboarding and orientation.
- Translate and explain HR policies, procedures, and employment documents to Spanish-speaking employees.
- Prepare new hire paperwork and maintain employee personnel files.
- Track and maintain employee records, licenses, certifications, and required documentation.
- Assist employees with benefits enrollment and general HR questions.
- Coordinate pre-employment screenings and background checks.
- Support payroll by collecting timecards and verifying employee information.
- Maintain confidentiality of employee records.
- Assist with HR projects, meetings, and employee communications.
Transportation
- Support daily transportation operations and dispatch administration.
- Communicate with English- and Spanish-speaking drivers regarding schedules, documentation, and operational updates.
- Process driver paperwork, bills of lading, proof of deliveries, and shipping documents.
- Maintain driver qualification files and transportation records.
- Schedule appointments and communicate with customers and carriers.
- Assist with route documentation and reporting.
- Monitor and organize transportation documentation for accuracy.
- Provide administrative support to the Transportation Manager.
Qualifications
- High school diploma or GED required; Associate’s degree preferred.
- Must be fluent in both English and Spanish (reading, writing, and speaking).
- Minimum of 2 years of administrative experience.
- Human Resources, logistics, transportation, or warehouse experience preferred.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to prioritize multiple tasks in a fast-paced environment.
- Professional demeanor with exceptional customer service skills.
- Ability to maintain confidentiality and exercise sound judgment.
